Terms and Conditions

GS1 Asia Pacific Regional Forum 2025 Event

(20 October 2025 – 24 October 2025)

Registration for and participation in the GS1 Event is subject to these Terms and Conditions. By submitting your registration for the GS1 Event, you are deemed to have agreed to these Terms and Conditions (hereinafter referred to as the “Agreement”).

1. Interpretation

Unless inconsistent with the context or otherwise specified:

“Event" in this Agreement means the GS1 Asia Pacific Regional Forum 2025 (20 October 2025 – 24 October 2025) organised by or for GS1 for which you are registering.

“GS1" is an international not for profit association incorporated under Belgian law, with registered office at Avenue Louise 523, 1050 Brussels, Belgium and registered in the register of legal entities (district of Brussels) under number 419.640.608.

“You” or “Your” refers to the natural or legal person who submitted the registration form.

2. Registration Procedure

All registrations must be made in advance of the Event and submitted to GS1 by completing the relevant registration form as instructed and paying the Event registration fee in full, if applicable. GS1 reserves the right to accept or reject any registration request at its sole discretion or as required by applicable law (e.g., sanctions).

GS1 acknowledges receipt of registrations. As a principle, registrations are processed on a first-come, first-serve basis. Once capacity is reached, any further registrations are put on a waiting list.

GS1 reviews registrations with a view to ensuring appropriate representation, taking into consideration the purpose of the Event and the topics covered. As a result, GS1 may be unable to accept all registrations, in which case GS1 will promptly notify the person(s) concerned thereof. In principle, registrations are not final until receipt of full payment of the registration fee, if applicable, and until confirmed by email from GS1 approving the registration.

3. Registration Fees

Registration fees are indicated in the invitation letter or on the homepage of the Event itself, on GS1.org, and/or on the registration website. Registration fees, if applicable, shall be paid in full before the start of the Event.

Registration fees include online access to the virtual Event.

4. Payment Method

GS1 accepts payment of the registration fees, either by credit card or bank transfer. If you wish to pay by credit card, please fill in the corresponding registration form. If you prefer to pay by bank transfer, please indicate your intention to do so in the registration form and a pro-forma invoice with relevant payment instruction details will be sent to you.

5. Account

In order to register for the Event, you must create a registration account. You are entirely responsible for maintaining the confidentiality of your account as well as for all activities that occur under your account. GS1 will not be liable for any loss that you may incur in the event of unauthorized access or use of your account.

6. GS1 Event Virtual Attendance

When attending the Event virtually, the following shall also apply:

a. Event meetings/sessions are web-based and offered by GS1.

b. The meetings/sessions may be accessed through a PC, tablet, or mobile phone. You are responsible for ensuing you have the necessary equipment and internet connection to access the meetings/sessions.

c. Access to meetings/sessions is on a first-come first-serve basis and is subject to network capacity and availability.

d. You must be registered in order to log in and access the meetings/sessions. Your registration and account is personal to you and therefore you are not permitted to share your account with any other third parties or forward links of the meetings/sessions.

e. You are not permitted to make videos or audio recordings of the meetings/sessions or take photographs or screenshots of the meetings/sessions unless expressly permitted by GS1.

f. All materials made available in connection with the meetings/sessions may not be reproduced, posted, or distributed without GS1’s prior consent.

g. Under certain circumstances, GS1 may make changes to the content, format, schedule of meetings/sessions and dates and times. Exceptionally, GS1 may need to cancel or postpone a meetings/session.

h. The sessions may allow for questions to be submitted and other forms of participant generated content. GS1 cannot guarantee responses to all questions posted during a meeting/session.

7. Cancellation and Termination of Registration

a. Cancellation by You

Registrations are non-refundable in case of cancellation.

You may transfer your registration to another person within your organisation with prior notification to and approval by GS1. The deadline for submission is five (5) working days before the opening of the Event.

b. Cancellation by GS1

If for any reason whatsoever, including a Force Majeure Event, GS1 cancels, postpones or materially alters the Event, in whole or in part, GS1 will use all reasonable efforts to notify you in advance thereof.

GS1 shall not be liable to you for any cancellation, postponement of the Event or non-performance of its obligations under this Agreement to the extent to which such delay, cancellation, postponement or non- performance arises from any Force Majeure Event.

“Force Majeure Event” means any event or circumstance, or combination of events or circumstances, which are beyond the reasonable control of, and are not attributable to, GS1 and that materially affects the organisation, facilitation, hosting or commencement of the Event or render organisation of the Event impractical or impossible. Without prejudice to the generality of the foregoing, Force Majeure Event includes but is not limited to strike, serious political unrest, war, terrorist attack or serious threat, weather and natural disaster, infectious diseases, epidemic, pandemic, pandemic lockdowns, negative travel advice, travel restrictions, unavailability of required infrastructure and/or necessary services or systems, or other circumstances.

c. Termination by GS1

If GS1 unilaterally terminates this Agreement before the Event, GS1 will reimburse the registration fees paid by you to GS1 under this Agreement. This will be your sole and exclusive right and remedy in this respect.

Such reimbursement will not be applicable when the termination is due to your breach of contract or negligence, in which case GS1 may terminate the Agreement at any time and with immediate effect by simple notification to you using the contact details provided in the registration forms.

8. Event Rules and Regulations

While participating in the Event, you are required to comply with any policies or directions, such as but not limited to onsite security and health and safety rules and procedures, in force at the time of the Event.

During the Event, whether you participate in the audience or as a speaker, you agree to comply at all times with the code of conduct described herein.

9. Event Participation

The Event that you have registered for may be subject to export control, sanctions, or other legal restrictions. GS1 aims to comply with all laws and regulations applicable to GS1. By registering for the Event, you acknowledge that it is your sole responsibility to be in compliance with any sanctions and export control regulation that is applicable to you and GS1, and GS1 hereby disclaims any and all liability for your non-compliance with such laws and regulations.

10. Indemnity

You acknowledge and agree that you will indemnify and keep GS1 indemnified against any liability, damage, loss, cost, claim or expense of any kind or nature suffered or incurred by GS1 as a result of a third party claim arising from your registration for or participation in the Event, except to the extent that this result was caused by GS1.

11. Liability

To the extent not prohibited by applicable law, GS1's total aggregate liability to you in connection with the Event for any claims or damages, whether in contract, tort or otherwise, shall not exceed two hundred Euros (200 EUR). Furthermore, any claim for indirect, special or consequential loss or damage of any kind or for any loss of business or profit, revenue, anticipated savings, contracts, loss of or corruption of data, loss of use, loss of goodwill, interruption of business or claims of other parties or other similar pecuniary loss howsoever arising, even if GS1 has been advised of their possibility, is expressly excluded. To have a valid claim against GS1 relating to your Event registration or participation, you must notify GS1 within six (6) months after the Event ending date. You agree to exonerate GS1 from any liability relating to claims notified after that time limit.

Where the Event, or any part thereof, is facilitated online or by electronic means, such Event and related Event Content is provided “as is” and without any warranty of fitness for a particular purpose or merchantability and, to the extent permissible by applicable laws, GS1 disclaims any and all liability for such statutory and/or implied warranties.

12. Third party Systems and Software

Unless otherwise expressly stated, GS1 does not endorse the information technology systems or software used to facilitate the Event or provide Event Content. GS1 does not make any representations nor warranties about the suitability, merchantability, or fitness for purpose of the systems or software used in or to facilitate the Event, or that it will operate free from error or uninterrupted. GS1 has no control over the use or function of third party system or software and it is your responsibility to ensure that you have the adequate software, equipment, bandwidth and/or any other reasonably necessary hardware or software (including internet connection) to participate in the Event.

13. Data Protection

You acknowledge and agree that GS1 reserves the right to process, and instruct its subcontractors to process, personal data relating to you or your company’s staff members, agents or contractors, such as contact details and photograph for purposes relating to event administration (including securing your event registration, hotel registration if applicable and local destination management as well as facilitating registration to and organisation of following events), security management, accounting, record keeping, to offer Event- related products and services, and for conducting surveys and, more generally, for the exercise of GS1's obligations, rights and remedies. Personal data is processed in accordance with the GS1 Privacy Policy available at https://www.gs1.org/privacy-policy.

GS1 may also use your personal data to send targeted communications and commercial campaigns relating to GS1 products and services that could be of interest for you, except if you expressly communicated your request in writing to the events manager not to share your information for that purpose.

You acknowledge and agree that, where GS1 sub-contracts these tasks to an external supplier as data processor, this may involve the transfer of your personal data to non-EU Member States.

If you provide the personal data of another person, you shall ensure (i) that person has been duly informed about GS1's right to process such personal data as set out herein and (ii) such personal data are collected and supplied in accordance with applicable legislation and without infringing such person's or any third party rights.

Each participant has the right to consult and correct its personal data by addressing a request to GS1 at gs1events@gs1.org

14. Restrictions on Use & Intellectual Property

Event Content (defined below) is presented and otherwise made available to you solely for your internal business purposes.

The Event Content contains proprietary materials owned by GS1 and/or its licensors. Unless otherwise expressly provided in writing by GS1, GS1 does not grant any license, right, title or any other interest in the Event Content, including GS1 intellectual property (including but not limited to GS1 trademark, patents, or other copyright materials) to you. You agree that you shall indemnify and hold GS1 harmless against any unauthorised use of such Event Content disclosed or otherwise made available by you to any third party.

“Event Content” includes without limitation any information and/or material presented or otherwise made available to you by GS1 in connection with or in the course of the Event.

15. Photographs and videos

GS1 reserves the right to photograph and videotape the Event and participants and to use and license such photographs and videos in any internal and external communication referring to the Event or GS1, such as on its websites and intranet, or other publications, or in its annual reports, as well as on social media channels including but not limited to Twitter, Flick’r, Linkedin, Facebook or YouTube. By participating in the Event, you hereby consent to such uses.

16. Social Media

Any third-party content posted through social media channels maintained by GS1 should not be taken as an endorsement of such information. Links to websites and other resources operated by parties other than GS1 are provided solely as a convenience to the user. The perceptions, opinions, beliefs, and attitudes expressed through social media websites and other public forums are those of employees, related individuals, and other participating users of our websites, and are not necessarily aligned with the policies, standards, and practices of GS1, its subsidiary organisations, stakeholders or partners. These social media sites are available for and intended to encourage public dialogue and are, as such, provided for outreach and informational purposes only. GS1 reserves the right to reproduce and display the comments left by you on social media on a social media wall during the Event for the purpose of informing participants. You hereby consent to such use.

17. Code of Conduct

GS1 values and encourages freedom of expression. To maintain a right balance between such freedom of expression and potential abuses, you agree to comply with the below rules when acting as a speaker or participating in the Event:

1. respect GS1's name, reputation and goodwill;

2. ensure that any content that you make available in your presentation or through material does not infringe the rights of GS1, another user, or any third party;

3. in particular, refrain from infringing any intellectual property rights, privacy and data protection laws, confidentiality commitments, trade or business secrets, or other laws;

4. refrain from making any statements that would be disrespectful, misrepresenting, or otherwise harmful to GS1, another user, or any third party;

5. refrain from discussing topics with competitors that could give rise to competition law issues (such as price- fixing or market allocation agreements), and always conduct discussions with competitors in accordance with applicable antitrust regulations;

6. refrain from making any statements that would be insulting, threatening, libellous, obscene, offensive to religious, political or ethical beliefs, discriminating or racially oriented, or otherwise infringing any applicable legislation or third party rights; and

7. refrain from sending or posting unsolicited e-mails or internal messages (spam) to other Event participants.

GS1 reserves the right to immediately suspend or terminate your participation in the Event if you violate the code of conduct or otherwise breach this Agreement.

18. Applicable Law and Dispute Resolution

This Agreement and, more generally, all matters relating to your registration for the Event shall be governed by Belgian law. You agree to the exclusive jurisdiction of the competent court of Brussels, Belgium (French- speaking chambers) with respect to any claims against GS1.

19. Modification of this Agreement

GS1 may modify this Agreement at any time by posting a revised version on the Event website. The modified Agreement will become effective upon posting. By attending the Event after the effective date of any modification to this Agreement, you agree to be bound by the modified Agreement.

20. Entire Agreement and English Language

This Agreement is the entire agreement between you and GS1 regarding the subject matter herein. This Agreement supersedes all prior or contemporaneous representations, understandings, agreements, or communications between you and GS1, whether written or verbal, regarding the subject matter of this Agreement. If a translation of this Agreement is provided or otherwise obtained, the English version of this Agreement will govern and control.
